Information We Collect

When you register and use NEEDLYsign, we may collect the following types of information:

  • Name, email address, and mobile number during registration
  • Organisation or company name (optional)
  • Payment and billing information for subscription plans
  • Device metadata such as browser type and IP address for security purposes
  • Cryptographic hash values of documents — never the documents themselves
  • Contact form submissions and support communications
02

How We Use Your Information

We use the information we collect for the following purposes:

  • To create and manage your NEEDLYsign account
  • To process digital signing requests and maintain signing records
  • To send OTPs, notifications, and support communications
  • To improve our platform and develop new features
  • To comply with legal obligations under the IT Act 2000
  • To respond to enquiries submitted via our contact form
03

Zero-Data Architecture

🔒 Your PDF documents NEVER leave your computer. NEEDLYsign only processes the SHA-256 cryptographic hash of your document — not the document itself.

This is a core design principle of NEEDLYsign. When you sign a document, the actual PDF is processed locally in your browser or via the NEEDLY Bridge application on your machine. Only the document hash and your digital signature are transmitted to our servers for verification record purposes.

This means we are technically incapable of reading, storing, or sharing your document contents.

04

Data Storage & Security

We implement industry-standard security measures to protect your personal information:

  • All data is encrypted in transit using HTTPS/TLS
  • Passwords are hashed and never stored in plain text
  • Access to personal data is restricted to authorised personnel only
  • Regular security audits are conducted on our infrastructure
  • Signing records are retained to support document verification as required by law
05

Sharing of Information

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following limited circumstances:

  • With service providers who assist us in operating our platform (e.g., payment processors), bound by confidentiality agreements
  • When required by law, court order, or government authority
  • To protect the rights, property, or safety of NEEDLYsign, its users, or the public
  • In connection with a merger, acquisition, or sale of assets (you will be notified)
06

Cookies

NEEDLYsign uses cookies and similar tracking technologies to enhance your experience. These include:

  • Session cookies — to keep you logged in during your session
  • Preference cookies — to remember your settings
  • Analytics cookies — to understand how users interact with our platform

You can disable cookies in your browser settings, but some features of the platform may not function correctly without them.

07
